Consent to publish: one wording, a dated answer

A single optional checkbox on every application form, stored with the submission, so the answer is known before anyone asks to be taken down.

Outcome
Every published participant has a dated yes on record; everyone else stays unpublished.
Source
Adapted from the UAFest Lanark County publication consent notes (August 2026) and the filming line in the 2026 season plan. This is an operating pattern; check the privacy rules of your own province or country.

Before7

  1. T-90

    TaskOwner role: Coordinator

Write one consent wording and reuse it on every form

Change the text in one place only. Several paraphrases of one promise stop meaning anything. Keep the tone of a proud yes and leave duration unsaid.

  2. T-90

    TaskOwner role: Coordinator

    Keep the checkbox optional

An application goes through either way. Consent collected as a price of applying is worth nothing once questioned.

  3. T-89

    TaskOwner role: Coordinator

Treat an unticked or missing box as “do not publish”

Someone who never saw the checkbox never agreed to anything either.

  4. T-88

    Festival OSOwner role: Coordinator

Store the answer on the dated submission and show it on the application

The team sees “yes” or “no, do not publish” next to the applicant before anything goes live.

  5. T-60

    TaskOwner role: Coordinator

Put it on application forms; leave contact, newsletter and RSVP forms without it

Vendors, sponsors, volunteers, performers, business networking and partner applications carry the box.

  6. T-30

    TaskOwner role: Coordinator

For activities filmed as the festival's own story, ask separately

A convoy or parade can require photo consent, with marketing consent and personal-data consent as separate boxes beside it.

  7. T-3

    DocumentOwner role: Coordinator

Print a “filming in progress” sign for the entrance and repeat the line in reminder posts

Tell guests who object to say so, and film children in wide shots where possible.

After1

  1. T+1

    TaskOwner role: Coordinator

Handle removal requests by checking the record first

If the record is empty, unpublish and keep the record, so restoring is one change. If the record shows a yes, the team decides case by case.
